What You'll Do

You will play a key role directly supporting the clinicians delivering life-changing services to families by helping manage the day-to-day operations that keep our clinical teams running smoothly.

You will work closely with the Operations Director and collaborate with supervisors, scheduling, and hiring teams to ensure systems stay organized, communication flows smoothly, and teams stay aligned with expectations.

Clinical Supervisor Accountability
  • Lead weekly operational check-ins with BCBA supervisors
  • Review billable hours, documentation progress, and schedule visibility
  • Ensure supervisors maintain updated Google Calendars and client documentation
  • Document meeting summaries and provide updates to the Operations Director
  • Identify workflow barriers and help troubleshoot operational challenges
Operations Coordination
  • Maintain internal trackers and operational systems for visibility and organization
  • Monitor workflows across departments to ensure processes stay on track
  • Identify operational gaps or delays and escalate issues when needed
  • Support the Operations Director in maintaining efficient day-to-day operations
Hiring Workflow Support
  • Monitor hiring pipelines to ensure interview scheduling and candidate communication remain on track
  • Maintain hiring trackers and workflow visibility
  • Coordinate with the hiring team to address bottlenecks or delays
  • Support onboarding coordination for smooth team transitions
Scheduling Workflow Oversight
  • Monitor therapist and client schedules for accuracy and coverage
  • Identify scheduling conflicts, gaps, or workflow issues
  • Coordinate with the scheduling team to maintain efficient coverage
  • Escalate scheduling challenges or operational concerns when needed

Qualifications

  • 1–3+ years of operations coordination, administrative coordination, or project management experience
  • Strong organizational and time management skills
  • High attention to detail
  • Strong written and verbal communication
  • Comfortable leading structured check-ins with supervisors
  • Ability to manage multiple workflows simultaneously
  • Proficiency with Google Workspace (Docs, Sheets, Calendar)
Experience in healthcare, education, or behavioral health is a plus but not required.
